Maintaining a clean contacts list isn’t just about organization — it helps TrueReview process your requests faster and more efficiently.
How “Contacted Before” Works
When you import contacts, TrueReview automatically checks each entry against your Requests tab to see if they’ve already been contacted.
If a contact has received a review request before, you’ll see a green “Contacted Before” icon next to their name.
This system ensures you don’t accidentally resend requests to the same customers.
Why Duplicates Slow Things Down
Every time you send a new campaign, TrueReview cross-references the Contacts tab and the Requests tab to confirm which contacts are eligible.
If there are thousands of duplicate contacts or many that have already been contacted, this process can take longer — even though everything will still work correctly.
For faster processing and cleaner data, we recommend regularly cleaning your Contacts tab by removing “Contacted Before” entries.
Don’t Worry — Nothing Is Lost
Deleting “Contacted Before” contacts from your Contacts tab does not remove them from your system.
TrueReview continues to use your Requests tab as the master record to track who has been contacted in the past.
How to Delete “Contacted Before” Contacts
Go to the Contacts page.
Click on Filters.
Select “Contacted Before”.
Choose Select All and delete the filtered contacts.
By doing this regularly, you’ll keep your contact list clean, improve processing speed, and ensure your future campaigns run smoothly.
Avoid Accidentally Resending to Past Customers
TrueReview includes built-in safeguards to help you avoid resending review requests to customers who have already been contacted. You’ll see a warning message and a confirmation checkbox before any previously contacted customers are included in a new send.
However, if your contact list contains a large number of “Contacted Before” entries, it becomes easier to accidentally confirm and resend requests to all of them at once. This could result in customers receiving multiple review requests you didn’t intend to send.
While TrueReview’s safety measures help prevent this, maintaining a clean contact list is the best way to minimize user-related mistakes and ensure your messages only go to the right customers.
